Terms & Conditions

  1. This Booking Confirmation shall remain valid for acceptance for a period of 14 days and must be accepted by The Client in its entirety. No bookings will be categorised as confirmed until this contract has been signed and returned by the client.
  2. Any variation to the Services stated must be agreed in writing.
  3. The Client will be invoiced for the Production Fee plus any Other Services agreed on the Booking Confirmation. The Client shall settle this invoice within 7 days of completion unless otherwise agreed in writing.
  4. Any payments not received after the 7-day deadline will be subject to a £35 per week administration and late payment fee.
  5. Interest may be charged on all late payments at a rate of 8% per annum above the Bank of England base rate. Reasonable expenses incurred in obtaining payment from The Client where any payment due is late may also be charged.
  6. In the event that The Client cancels an Engagement they will be liable to pay cancellation charges as follows:
    • Cancellation over 60 days prior to the Event Date: No Fee
    • Cancellation made 30-59 days prior to the Event Date: 25% of Total Invoice
    • Cancellation made 15-29 days prior to the Event Date: 50% of Total Invoice
    • Cancellation made less than 15 days prior to the Event Date: 100% of Total Invoice
  7. If the venue provided by The Client is unable to accommodate the specified production needs and the agreed production is unable to be used for this reason The Client will be liable for cancellation charges as outlined above.
  8. Suitable parking will be provided by the client for all vehicles needed for the production. This parking should be close to the venue and no further than a ¼ mile radius. The client accepts all responsibility for parking, including but not limited to, the security of the vehicle, the cost of parking and any charges received.
  9. The Client will ensure that adequate assistants will be supplied for unloading, setup, pack down and loading. Where this is not possible or continually is not provided, additional event staff will be hired by the supplier at cost to the client. This cost, plus expenses occurred will be added to the final invoice.
  10. The Client shall provide a suitable, clear area for setup and ensure there is an adequate power supply which meets industry standards where electrical equipment is to be used.
  11. Where the client requires video or audio to be run by the production team, these must be received 24 hours before in the following formats;
    • For Videos, MOV with Uncompressed Audio
    • For Audio, WAV File
    • For Images, JPG
    • Where this is not possible the appropriate files must be received by the supplier 7 days prior to allow for format re-rendering. Any file not received in the time frames stated above may be subject to a £70 rendering fee.
  12. The Client agrees that if any Production Staff are threatened, abused verbally or physically by anyone present at the performance then the staff will be entitled not to work, without penalty. All Fees will remain payable by The Client .
  13. The Client must hold adequate insurance policies in respect of any Engagement.
  14. Any changes to the schedule will be subject to these Terms and Conditions.
  15. If changes are required to the schedule on the day of the event these changes should be discussed with the Supplier where possible, otherwise agreement should be reached between the Client and the Production team.
  16. In the event that any setup is unable to be completed due to a delay in the start of the agreed schedule, where such delay is no fault of the production team, the Client shall remain liable to pay the full Fee due.
  17. Should the Production team be required by the Client to extend the length of the running of the production, a further fee may be charged as agreed between the parties.
  18. The Production Team are not obligated to finish any work that has started late due to the Clients actions or to extend the length of any agreed working times.
  19. The Client accepts liability for any damages, theft or loss to production equipment. Should any damages, theft or loss occur The client will be sent a damages invoice which will be subject to the same terms and conditions for payment.
  20. These Terms and Conditions shall be governed by and construed in accordance with the law of England and the parties hereby submit to the exclusive jurisdiction of the English courts.
